Customer Register

Here is a list of all customers as well as functions and filters to manage them. From this view, you manage customers and their customer information.

Customer register

The customer register is global and is the same for all companies in the installation. The same customer register applies to consumers and wholesale customers.

From this page you can filter customers with the available filters and export them to Excel. This is also where new customers manually registered by clicking on "Create" and where you can update existing ones.

Press the customer number to open the customer card to get more detailed information about the customer and their ongoing and historical transactions.

CUSTOMER INFORMATION:
No: Unique customer number that is created automatically upon new registration unless otherwise stated. Cannot be changed.
Name: To be filled in when registering or when the customer registers on the website / webshop. Used on sales orders, appears on invoices and is used as a basis for delivery address.
Name2: To be filled in when registering or when the customer registers on the website / webshop. Used on sales orders, appears on invoices and is used as a basis for delivery address.
Contact: To be filled in when using contact persons on order confirmation, invoices and other documents.
Address 1: The customer's address is filled in when registering a new customer or when the customer registers on the company's website. The address is on invoices and delivery notes and is used as a basis for the delivery address in cases where a separate delivery address is not selected.
Address 2: The customer's address is filled in when registering a new customer or when the customer registers on the company's website. The address is on invoices and delivery notes and is used as a basis for the delivery address in cases where a separate delivery address is not selected.
Postal code: The customer's postal code is filled in when registering a new customer or when the customer registers on the company's website. The postal code is on invoices and delivery notes, the number is used as a basis for the delivery address in cases where a separate delivery address is not selected.
City The customer's place is filled in when registering a customer or when the customer registers on the company's website. The place is on invoices and delivery notes, the place is used as a basis for the delivery address in cases where a separate delivery address is not chosen.
Region: The customer's region is filled in when registering a customer or when the customer registers on the company's website. The region is on invoices and delivery notes, the region is used as a basis for delivery address in cases where a separate delivery address is not chosen.
Country: The country used on invoices and delivery notes, as well as basis for freight. and the country on the transactions. When registering a customer in the cash register (POS), the default country is taken from the template customer registered on the store. When registering a customer in BackOffice, you can select several countries but default is taken from you default settings.
Telephone: Registers the customer's telephone number.
Fax: Registers the customer's fax number.
Primary contact: Registry för contacts.
Mobile: Registers the customer's mobile number, visible on documents and often used for shipping.
Email: Registers the customer's e-mail address, visible on documents and often used for shipping.
Website: Wholesale customer website, link to the customer's website.
Seller: Information on the sales representative managing this customer.
Use Delivery Address: If other address is registered under Actions->Delivery Address, this will be used as default on the order if this is set to On.
External reference: Used for certain integrations and is an information to identify the customer in the external system.

FINANCIAL:
Org. number: The customer's organization number is filled in when registering a corporate customer.
Momsreg. number: The customer's VAT registration number is filled in when registering a corporate customer. Used when reporting EU trade.
Bank account: Bank account set for the customer. Primary is visible but several can be up to the customer. Touch the Matrix symbol to register or review the existing set. Press "Create" to set up a new one and fill in the information. Press "Check" to save.
Invoice customer number: Used when another customer number is to be invoiced.
Credit: Granted maximum limit for credit.
Accounting group, Who: When registering a customer, the value is taken from the default settings. It is important here to choose the right relationship accounting group as it affects how VAT on the order is handled but also which accounts the transactions are posted to when posting.
Customer accounting template: Dictates freight accounts, currency accounts etc for orders. When selling to both domestic and foreign customers, you can divide customers into different templates, for example domestic and foreign. This leads to two separate freight accounts and accounts receivable accounts. Choose correct one for the type of customer. Default is taken from the default settings.
Prices incl. VAT: Used to remove / add VAT to the price for the specific customer when registering a manual order in Bex.
Currency: Registers which currency the customer pays in. Used on manuel orders in Bex. E-commerce orders currency is set on the order by the e-shop.
Delivery terms: Information for wholesalers on how to deliver goods to the customer.
Payment terms: The term that is on the customer for payment. Fill out the days on its setting to calculate the Due Date on the customer's invoices.
Price group: Possibility to connect the customer to different price groups. Here is the price the customer will receive based on what is stated on the price group.
Invoice discount group: Opportunity to give a discount on all goods to invoice customers.
Allow invoice: Activates the ability to invoice the customer when buying from a cash register (POS).
Print invoice: If an invoice is to be printed directly when posting the order.
Co-invoicing: Should the customer be co-invoiced. Not all invoices will be posted upon delivery but are available for co-invoicing under Finance
No backorder: If it is a wholesale order without payment, this function terminates the order when posting if there are still lines to be shipped. I.e. if some customers do not more than one shipment of an order.

GROUPS
Customer group, Customer category and Customer classification: Ways to group customers for better management, follow-up reports and filtering.
Bonus group: Used for loyalty programs. Used to divide the customer register into different bonus qualifying groups. Corresponds to the set up Bonus System where the bonus group must be selected.
Dimension1 etc: (Name may vary. Set by Economy) An extra dimension in the customer register to get separate statistics. Used on transactions, mainly to delgate cost.
VIP: Indicates that it is an important customer.
Store: Information about which store the customer belongs to.
Warehouse: The warehouse be used on manually created orders
Shipping fee: Shipping fee that is added to manually created orders
Shipping: Shipping provider used on manually created orders
Shipping service: Shipping service used on manually created orders

OTHER
Customer card number: To be filled in for new registration when using a membership card for the customer register.
Blocked: If the customer is blocked, it will not be possible to place orders manually on the customer and they will not be able to post if orders come in to the customer from E-commerce.
Other: Other information about the customer. Free text.
Language: Information about which language the customer speaks. The language code is used to determine the language of invoices etc.
B2C: Business to Consumer, information that the customer is a private customer at the checkout / webshop.
B2B: Business to Business, information that the customer is a corporate customer at the checkout / webshop.
Newsletter: Information on whether the customer wants a newsletter or not.
Invoice as e-mail: The customer must receive the invoice via e-mail when posting. Must have set up correct email settings.
Delivery by e-mail: The customer must receive a delivery notification via e-mail when posting. Must have set up correct email settings.
Internal: Information that the customer is an internal customer that is used when moving stock between warehouses.
Template customer: Internal use in Bex. Sets the customer to be a dummy customer. Used to set values for customers that are not created manually,i.e. from the web or from the POS. Some values that are not set by the webshop still need to be filled in on the customer in order to post, for example "Accounting group, Who" which dictate which accounts should be used for the transactions and the VAT-level. A template customer has that information and will be used when the customer is created. In order for the template to be used it should be selected on the corresponding country the settings the template works for. If the company is set in Sweden and sells all over the world, there should be a template for customers in Sweden, the customers in EU and customers in the Rest of the World (ROW) in order so customers get the correct Postingsetup and correct VAT, which will be set on the customer from the template.
Represents companies: This function is used for internal customers to sell between companies and to be able to use internalorder for stock transfer.
Represents location: This function is used to specify which storage location the internal customer represents.

Latest activity: Date and time of last activity by the customer.
Latest activity number: Document number for latest activity.

ACTIONS
Comment: Overall comment. Will accompany customer to order and is displayed as a pop-up
Create: Create a new customer
Excel: Takes out customer and order information to Excel
Anonymize Personal Data: Will delete customer information from customer card. Adds the customer to a queue for deleting customer information that takes place overnight.
Customer merger: If a customer has multiple customer cards, this feature is used to merge sales from one customer card to another. Fill in the customer number of the customer to whom the sales are to be moved.
Delivery addresses: Add alternative delivery addresses that can then be used on the order. To add an address, click Create, fill in delivery information. Set by default if this address is to be used by default. Touch the pen to edit the existing address. Use the check mark to save. Press the dustbin to remove.
Price list: Link to Price List
Delete: Removes the customer from the customer register. Only possible if no transactions are linked to the customer.

QUICK VIEW
Bonus: Shows existing bonus and gives the opportunity to add bonus points. To add, select the bonus system and then fill in the number of bonus points to be added. Press save.
Sales: Shows sales by number and amount
Order: Shows orders, open and posted, linked to the customer and provides the opportunity to create a new order.
Invoice: Shows invoice, open and posted, linked to the customer and provides the opportunity to create a new one.
Credit: Shows creditnotes, open and posted, connected to the customer and provides the opportunity to create a new one.
